Caterers - discussion re prices of last year's caterer, higher donation promised, KD has spoken to them, wider range of food offered, prices to be conistent through the weekend (not to go up after the first day). If caterer can offer reasonable prices as people are dependant on them we will consider them. KD to obtain estimated prices then decision to be made. The will need to be willing to give deposit to ensure tidy pitch on leaving.

Ice cream van - to be arranged. (They must have real flakes and raspberry juice!)

Rubbish disposal - Bubba has arranged a skip for disposal of non-burnable rubbish.

Camp fire - this will be allowed to burn out during the day as a means of increasing safety and reducing risk to children.

Other safety issues - children (not with Jeepers) playing on site; these will be policed and all tempataion removed. ;)

Traders - some interest already, Chris Jones will sort promotional material to send to other prospective traders.

Evening entertainment - suggestions: tug-of-war, quiz,

Competitive activities - slalom, winch challenge etc. Insurance providers to be contacted to see their definition of competitive.

Cheapfest Website - more photo's needed, photo's to be sent to EE, link to be set up to 4x4 Navigation.

Charity - Awaiting response from Bluesub's daughter for the name of the charity which gave them the most support.

Night run - to be held on the saturday night, held as a led convoy, an extra donation of £5 for those participating. No drink driving.

Blue run - to be set out again, guided runs to be organised for newbies.

Shopping list - steel pigtails needed, ticker tape needed - Chris Jones to source pig tails.

Marketing - quotes from people about their experiences from previous events, selling points, eg newbie friendly, in-cab videos showing the site whilst being driven.

None-Jeep entrants - Strictly by prior approval. (Provision of reg. numbers and contact details)

Pricing - weekend cost to remain the same price as last year, day rate to be raised to £20. (Weekend price to be £30). Camping to continue to be free.

Part II

Traders - traders to be approached, Chrysler to be approached again for goodies for goody bags

Flyers - Wording to be sorted and flyers to be printed asap.

Advertising - Show dates to be found out and covered by members to promote CF, electronic flyers to be circulated to those who want them.

Route planning - decided that to mark/grade routes would be too restricitve (other than blue route). Exact site boundaries to be learned from site owner.

Now it's pizza time.  :D

just like to say thankyou to all who managed to make it to the meet got a lot of things sorted and kicked loads of ideas around thanks folks your club needs you

Just a thought, but would it be possible to do some kind of map of the site showing where all the runs are? purley for us folk that have only been to the site once or for newbies who arn't to sure where or where not to go...
